EIDENTECH FIELD NOTES / CHATBOT PLANNING

How much does an AI chatbot cost for a business?

A practical way to assess chatbot development and operating costs without treating a generic price range as a project quote.

1. Define the job before comparing a price

A chatbot that answers a handful of company questions is a different project from an assistant that searches private documents, authenticates customers, or changes orders in a business system. Begin by describing the user, the questions, the expected next action, and the knowledge the chatbot may use. Separate an enquiry assistant from a transaction assistant so proposals cover the same responsibilities. EidenTech does not publish a universal price for every build: a useful estimate follows a written scope, integration review, and agreement on what must work at launch.

2. Separate development from recurring operation

The initial build may include discovery, conversation design, the chat interface, server APIs, lead validation, integrations, evaluation, and deployment. Ongoing operation can include hosting, model usage, document storage, search, monitoring, and maintenance. Usage-based services depend on the workload and provider terms. A prototype using an available free allowance does not establish a permanent zero operating cost. Ask which accounts you will own, which bills are separate from development, and what happens when traffic or conversation length increases.

3. Identify the integrations that affect scope

Saving validated enquiries to a supported spreadsheet can be narrower than syncing records across several CRM systems with authentication, permissions, and custom business rules. Describe the fields and the event that causes a record to be created or updated. Decide what should happen when the target system is unavailable or a contact is incomplete. Document retrieval, multilingual content, user accounts, appointment booking, and order actions should each have clear acceptance criteria. A tool name alone is not enough information to estimate a dependable integration.

4. Include evaluation and maintenance

A polished demonstration should be tested against realistic questions, unsupported requests, missing information, provider errors, and the data handling your business requires. Include time for the team to review answers and revise the company knowledge. Ask how model or integration changes will be monitored and who maintains the assistant after handover. The budget should cover the reliability expected from the release. A local trial can have a smaller operating scope than a public customer-facing assistant, but that difference should be visible in the proposal.

5. Compare proposals using the same brief

List your audience, approved information, required lead fields, supported actions, integrations, expected usage, and success criteria. Ask each development team to separate one-off work, recurring costs, exclusions, and ownership. For a first release, choose a complete useful conversation rather than several unfinished capabilities. Measure outcomes such as completed enquiries and the quality of the information handed to sales, without assuming that adding chat guarantees more leads. Send EidenTech this brief to discuss the appropriate scope and receive a project-specific estimate.
